Job Title:  Federal Grants Bookkeeper

 

Immediate Supervisor:  Director of K-12 Instruction

 

General Description:   

Performs intermediate clerical and technical work requiring a qualified typist; prepares and maintains fiscal records and related records for mulitple federal grants and; does related work as required.  

 

Essential Functions:

  • Serves as primary clerical support for Title I, III, IV, V, and Carl D. Perkins Grant Program; prepares and maintains a variety of files and records
  • Responsible for maintaining records for division expenditures as well as individual school expenditures for each federal grant
  • Responsible for submitting grant applications, grant amendments, budget transfers, and federal grant reimbursement requests using the VDOE grant system called OMEGA
  • Responsible for maintaining accurate records regarding individual school grant budgets including parental involvement funds, preschool funds, and private school funds
  • Responsible for communicating with school principals and bookkeepers via written and verbal correspondance concerning federal grant allocations as well as ensuring that all allocations are spent based on division and state deadlines
  • Responsible for processing purchase orders and invoices for all grant expenditures
  • Responsible for maintaining accurate records for individual school Title I parental involvement funds
  • Responsible for maintaining accurate records for Title I Preschool expenditures
  • Responsible for maintaining accurate inventory for all federal grant equipment
  • Responsible for assisting with the writing of annual federal grant applications and ensuring all allocated funds meet state guidelines
  • Responsible for maintaining federal grant personnel list and coordinating that list with Payroll and Human Resources departments

This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects, and some light work requiring the exertion of up to 20 pounds of force occasionally, up to 10 pounds of force frequently, and a negligible amount of force constantly to move objects; work requires reaching, standing, fingering, grasping, and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels, and to receive detailed information through oral communications and/or to make fine distinctions in sound; visual acuity is required for depth perception, color perception, preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.

 

Education and Experience:

Any combination of education and experience equivalent to graduation from high school supplemented by courses in business, typing and bookkeeping and some experience in clerical and/or accounting work.
