Description | JOB TITLE: Transportation Payroll Specialist
IMMEDIATE SUPERVISOR: Director of Transportation
GENERAL DESCRIPTION: This position performs intermediate skilled clerical work in the administration and management of transportation business affairs. Performs related work as required. Work is performed under the regular supervision of the Director of Transportation. This position works 12 months per year.
ESSENTIAL FUNCTIONS:
- Prepares all transportation payrolls, including payrolls for contract drivers and aides, transportation substitutes, field trips, athletic trips, midday and shuttle runs.
- Processes mid-month timesheets.
- Maintains attendance and benefits records.
- Prepares and maintains various reports, including bus driver record of hours, daily mileage log, records for seniority awards, attendance and benefits records, and monthly absence reports.
- Prepares, records and submits trip logs for Medicaid and FAMIS Transportation Reimbursement.
- Processes accounts payable documents (invoices, field procurement authorizations, purchase orders, etc.), checking amounts, extensions, and other information.
- Informs the Director of Transportation of any apparent violations of purchasing procedures.
- Assists in reviewing and sharing video footage from school buses with school administrators.
- Assists in planning agendas and presentations for driver in-service meetings.
- Maintains a good working relationship with transportation staff, including drivers, aides, substitutes, and bus garage staff.
- Maintains proficiency in the use of various software applications, including Microsoft Excel, Word, presentation software, etc.
- Receives incoming telephone calls and greets office visitors.
- Types general correspondence, memorandum, reports, schedules, official notices and other materials from rough draft, copy, marginal notes, or verbal instruction.
- Checks and reviews a variety of data for accuracy, completeness, grammatical errors, and conformance to established standards and procedures.
- Processes travel requests, sets up travel arrangements, and processes travel reimbursement requests.
- Performs other duties as required.
EDUCATION AND EXPERIENCE:
Any combination of education and experience equivalent to graduation from high school, including or supplemented by courses and considerable clerical experience. Prefer two year associate degree and experience in accounting/bookkeeping, or demonstrated competence in the tasks assigned. Selected candidate must successfully complete all background screenings, including a credit check.
KNOWLEDGE, SKILLS AND ABILITIES:
- Knowledge of District policies and procedures.
- Knowledge of general office procedures and equipment.
- Skill in effective communication, both verbally and in writing.
- Skill in the use of computers for data entry, word processing, accounting and/or presentation purposes.
- Ability to present information clearly and concisely in verbal and written form.
- Ability to maintain effective working relationships with other District employees and the general public.
- Ability to work independently with minimal supervision.
PHYSICAL REQUIREMENTS:
The work is sedentary to light work which requires exerting up to 30 pounds of force occasionally and/or exerting up to 20 pounds of force frequently, and/or up to 10 pounds of force to move objects frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Work is performed while standing, sitting and/or walking. Requires the ability to communicate effectively using speech, vision, and hearing. Requires the use of hands for simple grasping and fine manipulations. Requires bending, squatting, crawling, climbing, reaching. Additionally, the following physical abilities are required:
- Reaching: Extending hand(s) and arm(s) in any direction.
- Pushing or Pulling: Using upper extremities to press against something with steady force in order to thrust forward, downward or outward. Using upper extremities to exert force in order to draw, haul or tug objects in a sustained motion.
- Grasping: Applying pressure to an object with the fingers and palm.
- Handling: Picking, holding, or otherwise working, primarily with the whole hand
- Feeling: Perceiving attributes of objects, such as size, shape, temperature, or texture by touching with skin, particularly that of fingertips
- Manual Dexterity: Picking, pinching, typing, or otherwise working, primarily with fingers rather than with the whole hand as in handling.
- Repetitive Motion: Substantial movements (motions) of the wrist, hands, and/or fingers.
